Switching to AspireOS
Move to AspireOS without a lost week.
AspireOS reads your current account with an API key and brings the practice across in one pull, while you keep working in your current system. Nothing reaches a patient until you say so, and you switch on a day that suits you.
The pull
Everything your current system offers over its API, in one pull.
Paste a key, press Pull. Your current system is never changed.
How it works
Paste an API key from your current system into Settings › Integrations & data and press Pull. AspireOS only reads from it; nothing there is changed or deleted.
- Patients, with their details, medical history and funding scheme; your team, with AHPRA and provider numbers; and your contacts.
- Appointments on their original date and time, converted to your clinic's timezone. Staff time-off and blocked-out slots are skipped, because they aren't visits.
- Invoices with their line items and item codes, the day each was actually settled, and your invoice numbers, which carry on from where your old system left off.
- Funding episodes, your price list (one service with a rate per funder) and your waitlist, including how long people have been waiting.

Clinical notes
Your notes come across through a spreadsheet export.
Notes come across from your current system's own export.
How it works
Clinical notes aren't offered to other systems over the API, so the pull can't fetch them. Your current system's own export can: download the progress notes as a spreadsheet and import them in Settings › Integrations & data.
- Notes arrive with their original date, author and full text, and they arrive locked.
- The import shows a count per patient to check against your current system before you stop using it.
- Exports from other practice software and any spreadsheet can be imported the same way, with columns matched for you and duplicates skipped.

Testing mode
Nothing reaches a patient while you check it.
Testing mode holds every patient message while you check.
How it works
Turn on Testing mode before the first pull. It holds every message a patient could receive (reminders, invoices, letters, agreements, intake forms) while you and your team look around and test. Held messages are never sent later.
- Pull again as often as you like: it only adds what it hasn't seen, so it never duplicates a patient or an invoice.
- A reconciliation panel lists anything that wasn't brought in, and why.
- Run both side by side for a while with a nightly pull from your current system into AspireOS, then switch on a quiet afternoon.

Questions
Questions practices ask
Will patients get messages while we move?
Not if Testing mode is on, which the guide has you turn on before anything else. It holds every patient message, by email and text, and held messages are never sent later.
Do our clinical notes come across?
Yes, through your current system's own progress-note export rather than the API, which doesn't offer them. They import with their original date, author and text, locked.
Can we keep using our current system while we try AspireOS?
Yes. Keep working in your current system as normal and pull again whenever you like; a nightly pull is available too. AspireOS only reads from it and never writes back.
What about our files and attachments?
They don't come across automatically. Download the ones that matter from your current system before you close the account and upload them to the patient's Files tab in AspireOS.
Do our invoice numbers carry on?
Yes. Migrated invoices keep their numbers, and new AspireOS invoices continue from where your old system left off.
